National Visiting Committee Annual Meeting

March 4-5, 2025 I 7:00 am - 5:00 pm PST

The Saguaro Palm Springs

This year’s meeting will be an in-person meeting held at the Saguaro Palm Springs. It is a 15 minute drive time from the Palm Springs International Airport.  

Airfare

Palm Springs International Airport has major airlines that fly direct to the location. *Please remember to save your receipt for airline purchase for reimbursement after the meeting.

Transportation

The best option for transportation in the area (from airport to hotel) is to schedule an Uber/Lyft. The hotel does not currently provide shuttle service from the airport. Estimated costs for an Uber/Lyft is $30. *Please remember to save your receipt for airline purchase for reimbursement after the meeting.

Lodging

We have reserved a block of rooms for all our expected attendees at the Saguaro Hotel. You do not need to register with the hotel. We will provide you with a hotel confirmation number prior to your arrival at the NVC. 

This hotel has a pool, a 24-hour wellness center and an onsite spa and restaurant.  

Schedule

We will be providing a detailed agenda with the meeting times and locations as we get closer to the event. Please plan on two full days of meeting. 

Monday, March 3, 2025

• Travel to Palm Springs and arrival at the Saguaro hotel
• Dinner with other attendees at the El Jefe Desert Cantina (located in the hotel) for those in attendance by 6:00 pm. This dinner is optional and on your own.

Tuesday, March 4, 2025

• 7:00 am - 8:00 am breakfast (Palmetto)
• 8:15 am - 12:30 pm meeting (Studio)
• 12:30 pm - 1:30 pm lunch (Palmetto)
• 1:30 pm - 5:00 pm meeting (Studio)
• 6:30 pm - 8:00 pm NCyTE hosted dinner (TBD)

Wednesday, March 5, 2025

• 7:00 am - 8:00 am breakfast (Palmetto)
• 8:00 am - 12:00 pm meeting (Studio)
• 12:00 pm - 1:00 pm lunch (Palmetto)
• 1:00 pm - 5:00 pm meeting (Studio)

• Return travel day

Travel Reimbursement

You will be reimbursed for the following expenses related to the required travel and meeting dates:

• Travel to and from your local airport, including taxi/shuttle or personal mileage and any tolls
• Parking fees at your local airport
• Round trip coach airfare and baggage fees
• Meals that are not otherwise provided for the group will be reimbursed in accordance with federal government per diem rates. ($22 breakfast, $23 lunch, $36 dinner)
• Three night stay at The Saguaro Hotel, checking in March 3, checking out March 6th. *If you plan to leave on the 5th after the meeting ends, please notify Trina by email (tbol@whatcom.edu) of your travel plans so she can update your hotel reservation. 
• Please hang on to your receipts. After the meeting, you will need to submit all original receipts to NCyTE for reimbursement. Trina Bol will send you further instructions.
