National Visiting Committee Annual Meeting

March 3-4, 2026 I 7:00 am - 5:00 pm PST

Willows Lodge

This year’s meeting will be an in-person meeting held at Willows Lodge. It is an hour drive time from the Seattle-Tacoma International Airport.  

Airfare

Seattle- Tacoma International Airport has major airlines that fly direct to the location. Trina will be reaching out to each of you individually to coordinate flights into Seattle on Delta Airlines. We have researched it and we can get the whole group in at 3 specific times. This will allow us to provide ground transportation to the meeting venue with the least amount of impact. *Please remember to save your receipt for airline purchase for reimbursement after the meeting.

Transportation

Due to the location being an hour away from the airport, there will be 3 groups of travelers flying into Seattle-Tacoma International Airport. We will be arranging transportation from the airport to the venue. *You will be notified who else in the group you will be meeting up with for transportation to the venue.

Lodging

We have reserved a block of rooms for all our expected attendees at Willows Lodge. You do not need to register with the hotel. We will provide you with a hotel confirmation number prior to your arrival at the NVC. We only ask that you confirm with Trina your arrival and departure dates. This hotel has a spa & sauna, a 24-hour wellness center and three great dining options onsite.

We will be providing a detailed agenda with the meeting times and locations as we get closer to the event. Please plan on two full days of meeting. 

Monday, March 2, 2026

• Travel to Seattle/Woodinville and arrival at the Willow Lodge hotel
• Dinner with other attendees at the Fireside Lounge (located next to the hotel) for those in attendance by 6:00 pm. This dinner is optional and on your own, however with the coordinated flights everyone should be in attendance if they want to participate.

• 8:15 am - 12:30 pm meeting (Gilman)
• 12:30 pm - 1:30 pm lunch (Gilman)
• 1:30 pm - 5:00 pm meeting (Studio)

• Return travel day

Travel Reimbursement

You will be reimbursed for the following expenses related to the required travel and meeting dates:

• Travel to and from your local airport, including taxi/shuttle or personal mileage and any tolls
• Parking fees at your local airport
• Round trip coach airfare and baggage fees
• Meals that are not otherwise provided for the group will be reimbursed in accordance with federal government per diem rates. ($23 breakfast, $26 lunch, $38 dinner)
• Three night stay at Willows Lodge, checking in March 2, checking out March 5th. *If you plan to leave on the 5th after the meeting ends, please notify Trina by email of your travel plans so she can update your hotel reservation. 
• Please hang on to your receipts. After the meeting, you will need to submit all original receipts to NCyTE for reimbursement. Trina Bol will send you further instructions.
